What you'll be doing:
The Leaves Administrator is responsible for administering and coordinating all aspects of teammate leave of absence requests and workplace accommodation needs. This includes complex case management under the Family and Medical Leave Act (FMLA), Americans with Disabilities Act (ADA), state-specific paid family and medical leave programs, workers’ compensation, and short- and long-term disability plans, as well as other applicable federal, state, and local leave laws.
This role partners closely with compliance, HR business partners, department leaders, and external vendors to ensure consistent, timely, and legally compliant administration of leave and accommodation processes. The Leaves Administrator plays a key role in supporting teammates through sensitive and critical life events, providing exceptional customer service, maintaining accurate documentation, and ensuring issues are identified, escalated, and resolved appropriately. The position requires strong knowledge of evolving leave regulations, excellent organizational skills, and a proactive, detail-oriented approach to managing competing priorities.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Leave & Accommodation Administration
- Serves as the primary point of contact for teammates in need of a leave of absence or accommodation, ensuring they understand their responsibilities, and the documentation and notice requirements necessary to support their request.
- Manages a wide range of leave types, including state-specific leave programs, ADA-related accommodations, workers’ compensation, and personal leaves, in accordance with applicable laws and company procedures.
- Monitors and tracks leave statuses, determinations, and all leave-related communications and documentation, including approvals, denials, and return-to-work dates, as communicated by the third-party administrator, ensuring compliance with applicable laws and internal policies.
- Advises teammates and leaders across the organization on the coordination of various benefits and legal entitlements, including how leave laws intersect with paid time off, workers’ compensation, and short- and long-term disability benefits.
- Coordinates the return-to-work process for teammates returning from extended leaves, including those covered under the FMLA, workers’ compensation, and other leave programs.
- May assist in addressing noncompliance with leave-related processes, including drafting termination warnings in accordance with company policies when teammates fail to meet documentation or communication obligations.
- Monitors benefit eligibility and enrollment for teammates on leave, tracking changes and termination timelines based on company policy and benefit plan rules.
- ADA Compliance & Interactive Process
- Facilitates and documents the interactive process in compliance with the ADA, collaborating with teammates, People Business Partners, managers, and external vendors to evaluate reasonable accommodations and determine appropriate work restrictions.
- Compliance, Documentation & Policy
- Maintains accurate, confidential, and legally compliant records of all leave and accommodation requests, documentation, and correspondence, in accordance with federal, state, and local requirements as well as internal best practices.
- Stays current on evolving federal, state, and local leave and accommodation laws, including FMLA, ADA, state paid family and medical leave programs, and municipal ordinances, and applies this knowledge to ensure compliance and mitigate risk.
- Drafts and recommends updates to company leave and accommodation policies to reflect changes in federal, state, and local laws and ensure continued compliance.
- Cross-Functional Support
- Supports other Benefits department initiatives as needed, including open enrollment, family status changes, and other teammate-facing processes.
Must Haves:
- Bachelors Degree in Human Resources or related field. Equivalent years of similar experience, in addition to stated requirement, accepted in lieu of bachelors.- REQUIRED
- 4+ years of experience in leave of absence case management, including in a multi-state environment.- REQUIRED
- Thorough understanding of federal and state leave laws, including FMLA, ADA, and various state paid family and medical leave programs (e.g., CA, WA, CO, etc.).- REQUIRED
- Proven experience managing the ADA interactive process, including documentation of reasonable accommodation discussions and implementation.- REQUIRED
- Excellent attention to detail and the ability to maintain accurate and complete records.- REQUIRED
- Demonstrated ability to manage multiple cases simultaneously with strong prioritization and time management skills.- REQUIRED
- Ability to use analytical and logical reasoning and data to build conclusions, recommendations, and reporting.
- Clear and professional written and verbal communication skills, with the ability to explain complex leave and accommodation topics to teammates and managers.- REQUIRED
- High degree of integrity and discretion, particularly when handling sensitive medical and personnel information. - REQUIRED
- Proficient in using HRIS platforms, third-party leave administration portals, and Microsoft Office Suite - REQUIRED

Compensation for the Leaves Administrator position is $70,900- $96,000 based upon candidate experience and market expectations.
